The same entity may also appear under different naming conventions, abbreviations, aliases or internal identifiers. Over time, these variations can make it difficult to maintain a reliable source of truth across internal systems.

Alkymi’s Master Data Management model gives clients a centralized way to manage the core entities that appear across their documents and workflows. These may include Funds, Limited Partners, borrower, loans or other client-defined entities.
Further, Alkymi can associate each entity to an approved master data record. The record could include the entity’s canonical name, known aliases, internal client identifiers, and relevant metadata such as currency, asset class, region, bank information, or other client-specific fields.
The result is a stronger foundation for automation because the system can understand not only what was extracted from a document, but which underlying business entity that value it represents and its relationship to critical data.
Name variation is one of the most common sources of operational friction in document workflows. A single Fund may appear under its full legal name in one document, a shortened name in another and an internal abbreviation somewhere else.
With Alkymi Master Data Management, aliases and alternate names can be automatically consolidated to the appropriate canonical entity. If an extracted value does not match the approved master data list, Alkymi can flag it for review before it can create downstream inconsistencies.
Master data lists can be created in several ways. Clients may provide approved master lists directly, Alkymi can backfill master data from reviewed historical records already in the system or even new records, or the data can be sourced from internal systems such as Snowflake.
Once extracted values are connected to master data, Alkymi can support a new set of configurable validations.
For example, the system can validate whether an extracted Fund or LP matches an approved list, whether a Fund and LP combination is expected, or whether bank information extracted from a document aligns with the correct bank details associated with that Fund.
This makes validation more contextual. Alkymi can now compare extracted data against the client’s approved master data and operational metadata.
Master data also enables richer workflow automation. When a document is associated with a known entity, related metadata can be used to support auto-population, routing, validations, and downstream processing.
For example, client identifiers, currency, asset class, region or bank details can all be associated with the relevant entity and used throughout the workflow. This reduces repetitive manual input and helps ensure documents connected to the same entity are handled with consistency.
This model can also support document visibility controls. Clients can configure access based on the Fund, LP, or other entity associated with a document, helping ensure that the right users see the right documents while maintaining appropriate oversight.
Master Data Management opens the door to more advanced capabilities over time. By anchoring documents and extracted data to the underlying business entity, Alkymi can help clients identify all documents and records connected to a specific Fund, LP or other entity.
This creates a more complete view across document types and time periods. By establishing these relationships, clients can easily understand which capital notices, capital account statements or other records relate to a given entity. Further, this creates the foundation for inter-document validation, such as comparing current and prior-period information for the same Fund.
This is a major stepping stone towards more intelligent document workflows, allowing the system to understand how extracted entities relate to the broader business context.
